In recognizing the need for our local community groups to have a space to meet in Town, the Select Board voted in January of 2024 to make certain public spaces available for use by registered community groups. The Board adopted the policy below to govern this program. This program strictly excludes businesses or for-profit entities.
Select Board Public Use Policy -- Adopted January 2024
Through this process, any group that is based in Tyngsborough with a minimum membership of Tyngsborough residents (as further outlined in the above-referenced policy) may register annually using an online application portal linked below. The registration requires a once yearly $50.00 fee. Fees collected through registration will be used to clean the spaces used by this program. There is no additional cost for the use of the meeting space available to these groups.
Process
1) Register online as a community group using this link. Registration is valid for one year from approval date and must be renewed by the community group. Registration is not automatic. Registrants will be asked to confirm that they have read, understood, and agree to the terms of use as described in the above policy. All registrants must review the policy before submitting an application.
2) Once your registration is approved, you are able to book the meeting space in accordance with the use policy. Groups are restricted to using space under this policy no more than two (2) times in any calendar month. Requests to schedule a meeting must be made at least fourteen (14) days in advance and cannot be made further than sixty (60) days in advance.
Requests may be made for any time during the periods outlined below, excluding federal, state, or local holidays.
| Day of Week | Availability |
| Monday through Friday | 4:00 PM to 9:00 PM |
| Saturday | 8:00 AM to 5:00 PM |
| Sunday | 8:00 AM to 1:00 PM |
Use of the meeting space is "as is" and no staff are provided from the Town. Groups are required to leave the meeting space in the same condition as they found it and shall comply with all rules for use in the above policy. Violation of the policy will result in a group's registration being revoked.
To submit a request for use, simply email administration@tyngsboroughma.gov with the following information:
Group Name, Responsible Party Name (as appears on the registration), Requested Date of Use, Time of Use, Reason for Use, and expected number of guests.
Reservations are made on a first-come, first-serve basis.
As of April 1, 2024, the Town is making only the large meeting room of the Council on Aging (169 Westford Road) available for use under this policy.
